Recommendation
Authorize the issuance of a Purchase Order in the amount of $401,980.70 (including tire, delivery fees, and sales tax) for one (1) Ford Transit Van-Wagon XL Closed Circuit Television Service Vehicle to Jack Doheny Companies, Inc. of Northville, MI. Approval is also requested for a 10% contingency in the amount of $40,198.07.
Report
BASIS FOR RECOMMENDATION
The current Closed Circuit Television (CCTV) truck, purchased in 2012, has surpassed its useful life and is due for replacement. This truck is critical for the CCTV pipe inspection program that maintains the sewer and storm systems. It has experienced several equipment and parts failures in recent years and has not been reliable, highlighting the need for replacement.
The pricing for this purchase originates from a Sourcewell Contract (No. 120721-RVL), and is available through an authorized dealer, Jack Doheny Companies, Inc. The City regularly purchases fleet vehicles through cooperative purchasing agreements or through a California Statewide Commodity Contract. Sourcewell is a cooperative procurement organization whose cooperative contracts are available and open to all public and nonprofit entities in the United States and Canada. The City has used Sourcewell cooperative agreements to identify vendors and purchase vehicles and equipment, typically realizing better pricing and value than traditionally bidding these types of goods/services individually. The vehicle meets the City’s requirements and is available through the Sourcewell cooperative purchasing contract until January 17, 2026. (Attachment 1 to the report.)
