Approval is requested to award contracts to Sonsray Machinery of San Leandro in the amount of $103,507 for one wheel (bucket) loader, and to Peterson Trucks of San Leandro in the amount of $232,797, for two dump trucks, excluding sales tax. These vehicles are utilized by the Department of Public Works.

BACKGROUND AND DISCUSSION
The routine replacement of fleet maintenance equipment is required based on hours of operation, equipment condition, operational costs, and budgeted replacement funding. The existing 2.5 cubic yard bucket loader has been in daily service for the past fifteen years and has accumulated over 5,000 hours of operation. One of the 10 cubic yard dump trucks has been in service for 17 years and the other for 12, with each accruing over 7,000 hours of operation. All three of the vehicles are approaching the end of their useful lives and are scheduled for replacement during FY 2014/15. These vehicles are regularly used to load and transport a variety of materials to job sites for street repair crews throughout the City.
Bid specifications were prepared by the Fleet Services Division. Purchasing staff issued Invitation for Bids Nos. F15-10 and F15-15, broadcast to potential suppliers through the City's Onvia DemandStar public procurement network. Sealed bids were received and publicly opened on September 10, 2014 for the wheel loader and September 24, 2014 for the dump trucks. Three bids were received for the wheel loader, and four bids were received for the dump trucks. Bid tabulations for both vehicle bids are contained in Attachment 1.
FISCAL IMPACT
The cost of the wheel loader is $103,507. The cost for the two dump trucks is $232,797. Both amounts exclude sales tax. Budgeted funds are available in the Fleet Equipment Replacement Account.
PUBLIC CONTACT
Public contact was made by posting the Council agenda on the City's official-notice bulletin board outside City Hall, at the Sunnyvale Senior Center, Community Center and Department of Public Safety; and by making the agenda and report available at the Sunnyvale Public Library, the Office of the City Clerk and on the City's website.
RECOMMENDATION
Recommendation
1) Award a contract in the amount of $103,507 to Sonsray Machinery for one wheel loader; and 2) Award a contract in the amount of $232,797 to Peterson Trucks for two dump trucks, with both contracts in substantially the same form as the draft purchase orders attached to the report.
