Consider and Take Possible Action on Council Ad Hoc Advisory Committee on Constituent Relationship Management (CRM) System Naming's Final Recommendation to Council

Report
BACKGROUND
On September 30, 2025, Council approved the award of multiple agreements for the implementation, licensing, and maintenance, of a new Constituent Relationship Management (CRM) System (RTC 25-0827). Implementation of the new CRM will include a name for constituents to reference and recognize the system as part of available City services. On January 13, 2026, Mayor Klein announced the creation of an ad hoc advisory committee on CRM System Naming (RTC 26-0110).

EXISTING POLICY

The action being considered does not constitute a "project" with the meaning of the California Environmental Quality Act ("CEQA") pursuant to CEQA Guidelines section 15378 (b)(5) in that it is a governmental organizational or administrative activity that will not result in direct or indirect changes in the environment.

DISCUSSION
The ad hoc advisory committee met to discuss and consider potential names for the new CRM system. Their discussion included names for both the CRM system and the system Chatbot. The committee recommends "MySunnyvale" as the CRM system name and "Sunny" as the Chatbot name.

Selection of a name is needed at this time to ensure that the project implementation schedule remains on track. Upon Council's selection of a name, the term of the ad hoc committee will expire.
